How to Plan an Exhibition Stand Budget

The most common budgeting mistake is focusing only on stand production and remembering the other items later. A good plan puts every item on the table from the start.
Split the total budget into items
Space rental, stand design and production, transport, electricity and internet, staff, hospitality and promotional material should each be a separate line, so the share of every item is visible.

Leave a 10–15% flexibility margin
During the fair process, last-minute graphic changes, extra electrical requests or the need to add products can appear. A small margin protects you from urgent decisions.
Include post-fair follow-up in the budget
Visitor records, follow-up emails and sample shipments determine the return of the fair. Setting these items aside early makes it easier to get a return on the investment.
Quick checklist
- Space rental and participation fees
- Design, production and installation
- Transport, electricity and staff
- Promotion and post-fair follow-up
