Fair Preparation Timeline: From Six Months to Opening Day

Fair Preparation Timeline: From Six Months to Opening Day

The fair date is fixed; the only thing that can bend is your own preparation timeline. Planning backwards is the key to a calm opening morning.

Six to four months before: decision phase

Choosing the area, setting goals, defining the budget framework and holding a brief meeting with the design team happen in this period. The earlier the concept is clear, the easier every later step goes.

Fair Preparation Timeline: From Six Months to Opening Day

Three to two months before: design and production

3D visuals are approved, technical drawings are prepared and workshop production starts. Deadlines in the organiser’s manual, especially for electricity and rigging applications, must be tracked at this stage.

Last month: transport, installation and rehearsal

Pre-assembly check, packing, shipping and on-site installation belong to the last month. One day before opening, the stand should be reviewed one last time together with the product layout.

Quick checklist

  • 6 months: goal, budget and brief
  • 4 months: concept and 3D approval
  • 2 months: production and organiser applications
  • Last month: transport, installation and check
